Overview

The Human Resources Specialist will support the HR department by performing various administrative and professional tasks related to human resources functions, focusing on employee onboarding, compensation offers, and HR processes. This role is responsible for ensuring efficient HR operations, fostering a positive employee experience, and supporting the organization’s mission to provide an inclusive, supportive work environment.

Responsibilities

General HR Duties

  • Address employee inquiries, concerns, and needs promptly, directing them to the appropriate HR or management personnel as necessary.
  • Maintain and update employee records in HR databases with a high level of accuracy, ensuring compliance with data privacy regulations.
  • Ensure HR practices and policies comply with all applicable labor laws and regulations; participate in audits and reporting as required.
  • Utilize HR systems and tools for tasks related to data entry, tracking, and reporting.
  • Provide system support and troubleshooting assistance to employees.
  • Assist with the implementation of performance management processes, including performance reviews and employee development plans.
  • Generate reports on HR metrics, such as turnover, retention rates, and onboarding success rates, to support departmental goals.

Specialized Responsibilities

 

Compensation Offers:

  • Work closely with the HR team to assess market competitiveness for roles within the organization, contributing to equitable and attractive compensation packages.
  • Collaborate with hiring managers to develop competitive job offers in line with the organization’s compensation philosophy, budget, and candidate qualifications.
  • Assist with salary benchmarking efforts by analyzing internal and external pay scales and presenting data-driven recommendations for salary adjustments and offers.
  • Facilitate the offer process by coordinating offer letters, extending verbal offers, and addressing candidate questions regarding benefits, compensation, and career growth opportunities. 
  • Ensure that all offer-related documentation is accurate, complies with organizational policies, and is securely stored.

 

Employee Onboarding:

  • Oversee the onboarding process for new hires, including the facilitation of pre-employment paperwork, background checks, and orientation scheduling.
  • Develop and maintain a welcoming experience for new employees, offering support throughout the onboarding journey and connecting them with resources, mentors, and HR contacts.
  • Organize new hire orientation sessions, covering company culture, policies, benefits, and training requirements.
  • Monitor completion of onboarding activities by tracking checklists, addressing any issues, and ensuring new hires have necessary tools and information to succeed.
  • Conduct post-onboarding check-ins with new hires to gauge their satisfaction and address early-stage concerns to promote retention.

Employee Orientation:

  • Facilitate new hire orientation sessions, ensuring employees complete all required activities to remain compliant before departmental orientation.
  • Facilitate regional experience days to integrate employees into the organizational culture, mission, vision, and values.
  • Provide support for employee experience initiatives as assigned.
  • Confirm accuracy and completion of employee personnel files.
  • Ensure employees have required tools and resources (system access, ID badge, workstation setup) to continue orientation after general sessions.
  • Coordinate scheduling, attendance tracking, and completion of orientation activities.
  • Prepare and maintain orientation materials (handbooks, presentations, digital resources).
  • Deliver mandatory compliance training as part of orientation.
  • Collect feedback from participants and managers to improve orientation programs.

Qualifications


Education
• Bachelor’s Degree in Human Resources, Business Administration or related field preferred

 

Minimum Work Experience
• 2+ years in HR, with experience in recruitment, compensation, and/or employee onboarding preferred.

 

Required Skills, Knowledge, and Abilities
• Knowledge of HR best practices and familiarity with employment laws and regulations.
• Proficiency in HRIS software (Lawson, API and iCIMS preferred)
• Strong organizational and multitasking skills.
• Excellent communication skills, with the ability to build rapport with candidates and employees.
